Feature Introduction

Can editors post articles belonging to others, and should the role be divided in this way?

WordPress has six built-in default roles, among which editors can publish and manage content including others' articles, authors can only publish their own articles, contributors can write and manage their own articles but cannot publish, and subscribers can only manage their personal profiles. The control point behind this division is 'who can take effect externally.' Small teams can divide according to three questions: who can publish, who can modify others' drafts, and who can upload attachments. AnQiCMS covers the same needs with user group permissions, content review, and the status flow from drafts to the recycling bin.

User Role Permission management Publishing process

Feature Introduction

Whether to cut it this way depends on how many people you want to decide on the matter of 'content going public'. The default role division in the WordPress documentation is very straightforward: editors can publish and manage content including others' articles, authors can only publish and manage their own articles, contributors can write and manage their own articles but cannot publish, subscribers can only manage their personal information. Writers cannot publish on their own, editors can publish others' drafts, and what is cut is this control point for going public. For a small team of only two or three people, it is not necessary to copy the six categories, but the control point itself should be retained.

What can each of the six default roles do

Character Who can write the script Can it be published Typical use
Super administrator All over the network Can Master control of multi-site network
Administrator All on this site Can Site manager, including themes and plugins
Edit Including articles by others Can Content manager, responsible for external effectiveness
Author Only for oneself Can Stable output, no need for review writers
Contributor Only for oneself cannot External contributors and new people who need to be reviewed
Subscribers Not writing articles cannot Users who only need to log in to view content

The document reminds at the same time: Roles among them are not the level of position, but different responsibility scope, the default ability set can be adjusted by adding and deleting abilities, and can also add custom roles.

Small teams divide roles according to three questions

Who can click to publish? This determines whether the content is visible to the public, the fewer people, the easier it is to hold someone accountable, usually given to one person in charge. Who can modify others' drafts? Once too many people can modify others' content, the attribution and responsibility become blurred, and it is impossible to locate who made the change when an error occurs. Who can upload attachments? Uploading is often the highest risk ability, involving file type, size, and external links, usually granted separately from content capabilities.

After answering three questions, most teams only need three levels: administrators, editors (content responsible), and writers (cannot self-publish). The author level is necessary to exist independently only when the writers can self-check their work.

Should publishing rights and review rights be separated?

When the team is small, teams can be merged, and when the team is large, they should be separated. The benefit of merging is that the chain is short, and an article only needs to pass through one person from writing to going live; the cost is the loss of review, sensitive expressions, external links, and compliance risks all rely on one person's judgment. After separation, the common form is: writers submit, editors review and arrange for publication, and administrators only deal with rules and permissions. Here, we need to be vigilant about a hidden overreach - if writers can modify published content, then the review is actually invalid, because no one looks at changes after going live.

Another form of audit rights is automatic rules: a preliminary review of sensitive words and content audit strategies, followed by manual review. These rules cover a large number of repetitive judgments, with manual processing only handling the parts intercepted by the rules.

User group permissions and content audit of AnQiCMS

AnQiCMS on the side corresponds to user management and VIP group, access permissions can be set by user group, making 'who can see what, who can change what' into a configuration rather than by agreement;Content security settings include sensitive word filtering and keyword replacement, content review involves initial screening by machines, allowing editors to only view marked articles. The complementary role is the content status: formal documents, drafts, pending publication, and recycling bin, clearly separating 'completed' and 'online'. Draft links with preview parameters can be previewed but not publicly, formal documents are moved to the recycling bin instead of being physically deleted, and deleted items can be recovered.

Boundaries of drafts, pending publication, and recycling bins

The three are often confused, but the boundaries are actually clear. Draft is an incomplete state, only appearing in the background and preview links; Pending release is content that has passed but has not yet taken effect, usually used with time-based release factors to control the timing of going live; The trash is a temporary storage area for deleted content, which can be restored. The role design should be based on these three states: Writers can only operate in the draft area, editors are responsible for pushing drafts to pending release, and the cleaning permissions of the trash are given to administrators. In this way, even if there are changes in personnel at some stage, the content will not be lost directly or go live unauthorized.

Common questions

Should a site with only one or two people set roles? But only need two levels: the person in charge who can publish, and the account that can only write drafts. Using the person in charge account in daily use can cover up mistakes, and it's hard to backtrack when there are problems.

How to grant permissions to external writers most securely?Deliver drafts to the writing accounts that cannot be published; after confirming the manuscript, the editor will publish it. Avoid giving the admin account directly for convenience, as this will expose both attachment and theme capabilities.

Can the role of editor be narrowed down further?Yes. The default ability set can be increased or decreased by ability items, and the common practice is to retain the ability to edit others' content while revoking the ability to manage themes, plugins, and users.

Add a hidden field and a layer of validation service to prevent spam comments enough

The hidden field blocks batch scripts that do not view the page, and the validation service blocks automated filling of forms. Together, the two layers still cannot prevent disguised promotional text from normal comments. It still needs content-side sensitive word filtering and manual review as a backup. This article gives the division of labor, the order of enabling the background, and the method of acceptance using the comment status.

When filling in the main text in the background, I want to change the template easily. What method does not require writing code?

A small-scale title style, paragraph layout, and module sequence adjustment can be edited using an AI visualization template directly in the preview to complete the change intention, and then fall back to code confirmation; changes involving content model fields and page structure still need to return to field definition. This article explains the boundary and rollback methods of the two methods of change.

When importing articles in bulk, should you use a compressed package or a table, and what scenarios are suitable for each format?

When importing articles in bulk, it is more suitable to use a compressed package for content with attachments and template resources, and using a table import for content with tidy fields is more convenient. AnQiCMS supports both ZIP compressed packages and Excel table batch import methods, and provides a dialectally consistent import interface for title duplicate checking. This article provides the adaptation scenarios, common failure points, and the order of using the recycle bin and backup as a fallback in case of import errors.
